Dispatch Administrative Clerk

About the Job
We're looking to hire a Dispatch Administrative Clerk (With Intermodal experience).

Applicants must be Canadian Citizens or Permanent Residents.

Duties:
  • Providing exceptional customer service at all times.
  • Provides support and back up to Dispatch team - LCL & FCL and other Administrative staff.
  • Follows agreed company processes and protocols in the Dispatch department, including use of systems and software.
  • Continue nurturing the ITN Logistics Brand as a quality, customer-centric, timely service provider that delivers against its value proposition.
  • Attending to customer calls, issues and complaints.
  • Receives inbound and outbound orders.
  •  Update the whiteboards with day to day deliveries & export pick-ups.
  • Sending status reports when required.
  • Tracking shipments in all rail yards - CN/CP, etc.
  • Scheduling appointments to ensure timely deliveries / and to avoid storage.
  • Ensuring reservations are scheduled for shipments out of CN/MALPORT and ensuring RV times correlate with shipment appointments.
  • Making RV’s for empty container returns and Export booking’s - advising ITN rep/customer if any difficulty with Export booking #’s (capacity).
  • Creating and updating Cargowise - including, but not limited to “T” Jobs, printing orders, billing, putting costs, driver’s pay, PODs.
  • Making and updating warehouse schedule on a daily and weekly basis.
  • Ensure the resources in the dispatch function of the company are managed effectively to achieve maximum efficiencies.
  • Continued nurturing of the relationship with current accounts.
  • Complete other administrative functions that support the daily requirements of the department.

Knowledge and Skills Required:
Education and Industry Knowledge:
  • 1-2 years knowledge in Administrative functions.
  • Experience in Intermodal a requirement.
  • Knowledge of working on Cargowise software an asset.

Technical Skills / Qualifications:
  • Proficiency with computers, ability to work in Windows applications, especially Microsoft Office is an asset.
  • Excellent problem-solving skills.

Other:
  • Required to work a flexible schedule of 8 hours daily shifts, Monday to Friday.
  • Ability to communicate in a manner, which is clear, effective, and respectful.
  • Detail-oriented.
  • Good organization skills while working in a fast-paced environment.
  • Ability to Multitask and meet deadlines with minimum disruption.
